Finance operations app

A multi-entity holding group

Transactions identified and categorized, decisions documented, numbers double-checked and filings kept on time across several companies.

−90% time on task
−80% errors

The problem

A small group running several companies spent about 60 hours every month recording its transactions, working out what each one was for, and keeping the paperwork and filings behind them in order.

What it looked like day to day

  • About 60 hours went to the same monthly job, every month.
  • Employees had to go through every small detail, including the many that didn't really need a decision.
  • The purpose of each transaction had to be worked out and recorded by hand.
  • Minutes for financial decisions, forms and filing dates all relied on someone remembering and getting them right.
  • All the double-checking was manual too, on top of the work being checked.

What we changed

We moved the checking to the start of the process, standardised how statements come in for each company, and changed what people are asked to do: answer the questions that truly need a person, and nothing else.

What we built

  • An app that identifies and categorizes each transaction and records its purpose.
  • A converter that turns each bank's export into a clean accounting import.
  • Meeting minutes generated for financial decisions.
  • Automatic double-checks on the numbers, including duplicates and balances, and on whether forms are filled out correctly.
  • A calendar that keeps every filing and deadline in line.
  • Clarifying questions only, for the few items that need a human decision.

The result

A job that took about 60 hours a month now takes a tenth of the time, with 80% fewer errors.

The month no longer disappears into the books. Instead of wading through minutiae, people answer a short list of real questions. Filings stop being something to worry about, because the calendar and the checks are already on them, and the numbers can be trusted by the time anyone looks at them.
