Client portal and billing

A relocation services firm

The problem
A growing relocation and residency services firm ran on messages. Every order came in by email or text, and the team carried each one by hand between the client and the provider doing the work.
What we did
We mapped how a client order actually moved through the business, cut the steps that only existed to pass information along, and redesigned the flow around the client instead of the tools.
The result
Manual work dropped by 80% and errors by half.
−80% manual work

One inbox for every channel

A multi-channel service business

The problem
Customers wrote in over several WhatsApp numbers and other chat apps. The owners only saw the real cost when they went back through old messages: conversations nobody had answered, adding up to tens of thousands of dollars left on the table.
What we did
We brought every channel into one queue, defined who answers what, and set the rules for when a reply can be drafted automatically and when a person has to write it.
The result
Within a month, response time fell from 24 hours to 3, missed replies went from 10% to zero, and customer satisfaction rose 30%.
24h → 3h response time
10% → 0 missed replies
+30% customer satisfaction

Finance operations app

A multi-entity holding group

The problem
A small group running several companies spent about 60 hours every month recording its transactions, working out what each one was for, and keeping the paperwork and filings behind them in order.
What we did
We moved the checking to the start of the process, standardised how statements come in for each company, and changed what people are asked to do: answer the questions that truly need a person, and nothing else.
The result
A job that took about 60 hours a month now takes a tenth of the time, with 80% fewer errors.
−90% time on task
−80% errors

Recording-to-publish pipeline

A coaching and media business

The problem
Every episode meant about four hours of follow-up work: transcripts, captions, uploads and scheduling, all done by hand. Publishing deadlines were being missed, and each miss threw off everything planned around it.
What we did
We wrote down every step between "recording finished" and "episode live", and decided which ones needed a person.
The result
Four hours of work per episode became four minutes.
4h → 4min work per episode

Mobile ordering

A small quick-service restaurant chain

The problem
A small quick-service restaurant chain took orders by hand, then tried to tally everything from paper. The kitchen had no way to bring one order together.
What we did
We created a mobile-first site with the menu and connected its orders to two backend displays at the restaurant: one for payment and one for the kitchen.
The result
Errors and missed items fell by 90%, wait times were cut in half, and customer satisfaction rose 40%.
−90% errors and missed items
−50% wait times
+40% customer satisfaction
